1. Agreement to Terms
By accessing our website at www.callring.co.uk or using our cloud telephony services, you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree to these terms, please do not use our services.

2. Services Provided
CallRing provides cloud-based telephony solutions including but not limited to:
- VoIP telephone services
- Cloud PBX and unified communications
- Call routing, forwarding, and management
- Voicemail services
- Call recording capabilities (where applicable)
- Mobile and desktop applications
- Hardware provision and support
3. Service Agreement and Contract Terms
3.1 Contract Period
Our standard service operates on a 30-day rolling contract basis. This means:
- Services renew automatically every 30 days
- Either party may terminate with 30 days' written notice
- No long-term commitment required (unless specifically agreed in writing)
- Custom contract terms may be negotiated for enterprise customers
3.2 Service Activation
Services will be activated upon:
- Receipt of signed service agreement (if applicable)
- Payment of any setup fees or deposits
- Completion of necessary technical configurations
- Provision of required information and documentation
4. Pricing and Payment
4.1 Fees
You agree to pay all fees as outlined in your quotation or service agreement, which may include:
- Monthly service fees per user/line
- Call charges (per minute or inclusive bundle)
- Hardware costs (purchase or rental)
- Setup and installation fees
- Additional feature charges
4.2 Payment Terms
- Invoices are issued monthly in advance
- Payment is due within 14 days of invoice date unless otherwise agreed
- We accept payment by Direct Debit, bank transfer, or other agreed methods
- Late payments may incur interest charges and service suspension
4.3 Price Changes
We reserve the right to adjust pricing with 30 days' written notice. Price increases will not apply during any fixed-term contract period.
5. Acceptable Use Policy
5.1 Permitted Use
Our services are provided for lawful business communications purposes only.
5.2 Prohibited Activities
You must not use our services for:
- Illegal activities or fraudulent purposes
- Harassment, threats, or abusive communications
- Spam calls, unsolicited marketing (except where legally permitted)
- Automated dialling systems without prior written consent
- Bypassing security measures or attempting unauthorized access
- Reselling services without authorization
- Premium rate services without prior agreement
- Activities that may damage our network or reputation
5.3 Consequences of Misuse
Violation of this Acceptable Use Policy may result in immediate service suspension or termination without refund.
6. Service Availability and Support
6.1 Service Level
We strive to provide reliable service but cannot guarantee 100% uptime. Our target availability is:
- Essential tier: 99.5% uptime (excluding planned maintenance)
- Professional/Enterprise tiers: 99.9% uptime
6.2 Planned Maintenance
We will provide advance notice of planned maintenance where possible, typically scheduled during off-peak hours.
6.3 Support
- Technical support is available via email and phone during business hours
- Enterprise customers may receive priority or 24/7 support as per their agreement
- Emergency support is available for critical service outages
7. Number Porting and Ownership
7.1 Porting Numbers to CallRing
We will assist in porting your existing telephone numbers to our service, subject to:
- Provision of correct and complete information
- Approval from your current provider
- Technical feasibility
- Payment of any applicable fees
7.2 Number Ownership
Numbers allocated by CallRing remain our property. Upon termination of service, you may request to port numbers to another provider within a reasonable timeframe.
8. Data and Privacy
Our handling of your personal data is governed by our Privacy Policy, which forms part of these Terms of Service. We are committed to protecting your data in accordance with UK GDPR and the Data Protection Act 2018.
8.1 Call Recording
If you use call recording features, you are responsible for:
- Complying with all applicable laws and regulations
- Obtaining necessary consent from call participants
- Providing appropriate call recording announcements
- Secure storage and handling of recordings
9. Equipment and Hardware
9.1 Purchased Equipment
Equipment purchased from CallRing becomes your property upon full payment. We provide warranty support as specified in your purchase agreement.
9.2 Rented Equipment
Equipment rented from CallRing remains our property and must be:
- Used only for its intended purpose
- Maintained in good working condition (normal wear excepted)
- Returned within 14 days of service termination
- Returned in good condition or subject to replacement charges
9.3 Customer Equipment
You are responsible for maintaining your own internet connection, network infrastructure, and any customer-owned equipment used with our services.
10. Termination
10.1 Termination by Customer
You may terminate services by providing 30 days' written notice to team@callring.co.uk. You remain responsible for all charges incurred until the termination date.
10.2 Termination by CallRing
We may terminate or suspend services immediately if:
- You breach these Terms of Service
- Payment is overdue by more than 30 days
- You engage in prohibited activities
- We are required to do so by law or regulatory authority
10.3 Effects of Termination
Upon termination:
- Access to services will cease
- Final invoice will be issued for services used
- Data may be retained for a limited period as per our Privacy Policy
- You may request number porting to another provider
- Rented equipment must be returned
11. Liability and Indemnification
11.1 Service Limitations
CallRing provides telecommunication services "as is" and makes no warranties regarding:
- Uninterrupted or error-free service
- Specific results or outcomes from service use
- Third-party networks or internet connectivity
11.2 Limitation of Liability
To the maximum extent permitted by law, our liability is limited to:
- The total fees paid by you in the 12 months preceding the claim
- Direct damages only (no indirect, consequential, or special damages)
We are not liable for:
- Loss of business, revenue, or profits
- Loss of data (you are responsible for backups)
- Failures caused by third-party networks or your equipment
- Force majeure events beyond our reasonable control
11.3 Customer Indemnification
You agree to indemnify CallRing against claims arising from:
- Your violation of these terms
- Your misuse of our services
- Your violation of any laws or third-party rights
12. Emergency Services (999/112)
IMPORTANT: Our cloud telephony services support emergency calls to 999/112, but service depends on:
- Working internet connection
- Electrical power supply
- Correct address information registered with our system
You are responsible for:
- Ensuring address information is accurate and up-to-date
- Having backup communication methods available
- Understanding limitations during power or internet outages
13. Intellectual Property
All intellectual property rights in our services, software, documentation, and branding remain the property of CallRing or our licensors. You receive a limited license to use our services as outlined in these terms.
14. Changes to Terms
We may update these Terms of Service from time to time. Material changes will be communicated via:
- Email notification to registered account holders
- Notice on our website
- Updated "Last Updated" date at the top of this page
Continued use of services after changes constitutes acceptance of the updated terms.
15. Governing Law and Disputes
These Terms of Service are governed by the laws of Scotland and the United Kingdom. Any disputes will be subject to the exclusive jurisdiction of the Scottish courts.
We encourage customers to contact us first to resolve any issues before pursuing formal legal action.
16. Entire Agreement
These Terms of Service, together with our Privacy Policy and any signed service agreements, constitute the entire agreement between you and CallRing regarding use of our services.
